One retainer, from contract to profit

A six-person agency signs a three-month retainer for 30 days of work. They add the client, its contacts and the contract with its dates and agreed days, then create a kanban board under it for the client's ongoing requests.

The team starts timers from the cards they work on. The Board overview shows the days planned and worked on finished tasks against the 30 agreed, so by week six the agency can see the retainer running ahead of plan and raise it with the client before it runs out.

Each month they send an invoice linked to the contract. On the Pro plan, the Client ROI report shows what the client paid, minus expenses and the cost of the team's time, so at renewal the agency knows whether the retainer is worth keeping at that price.

What changes for an agency

One record per client, not one per tool

In most agencies the same client exists four times: as a folder of boards, a project in the time tracker, a customer in the invoicing app and a row in a contracts spreadsheet. Each copy drifts.
