Client management for agencies and consultancies
Keep each client's contacts, conversation notes, follow-up reminders and contracts in one place — next to the boards, time and invoices for the work you do for them.
A CRM that stops at the sale misses most of the relationship.
Sales CRMs are built to close a deal. For an agency the real work starts after that: the contract, the delivery, the renewal. That part usually ends up in inboxes and spreadsheets.
In Mono the client record is where delivery hangs from. Contacts and contracts sit on the client, and boards, time and invoices sit on the contracts.
The client relationship, kept with the work
Contacts on every client
Add as many contacts as a client has, each with a name, position, email and phone number.
Notes and reminders
Keep a running log of notes against each contact and set follow-up reminders. They arrive in Mono and by email on the morning they are due.
Contracts with the commercial detail
Record each contract's amount, payment schedule, start and expiry dates, estimated days, services and the teams on it, with files attached. On Pro, add an expense budget too.
Warning before a contract expires
Contracts within 30 days of their expiry date are flagged, so a renewal conversation starts on time.
Effort against the agreement
Each contract shows how many of its agreed days are used and how many are left, based on finished work on its boards, and flags it when it goes over.
Access by role
Invoices and finance reports are only visible to owners, managers and finance. Team leads and members see their boards and tasks, not clients, contracts or money.
Keeping a renewal from slipping
An agency has a 12-month retainer with a retail client. The client record holds three contacts: the marketing director, a project manager and someone in accounts, each with their position, email and phone number.
After a call with the marketing director, the person who looks after the account adds a note to that contact and sets a follow-up reminder for two weeks later. On that morning the reminder appears in Mono and arrives by email.
Thirty days before the contract's expiry date, Mono flags it as expiring. The contract also shows how many of its agreed days are used, so the renewal conversation starts with real numbers about the year.
The relationship, the agreement and the delivery sit on one record, so the renewal is prepared rather than remembered.
How client records fit into Mono
Client, contract, board
A client can have several contracts, and each contract can have several boards. Tasks, logged time and invoices all hang from that structure, so every piece of work and every invoice traces back to a client.
What a contract records
Each contract holds its amount, payment schedule, start and expiry dates, estimated days, the services it covers and the teams working on it, with files such as the signed agreement attached. On Pro, it can also carry an expense budget that Finance tracks spend against.
The estimated days are what contract effort is measured against, so the commercial agreement and the delivery are compared on the same record.
Who sees what
Client records are for your team; clients themselves have no login or portal. Inside your team, invoices and finance reports are only visible to owners, managers and finance, while team leads and members see their boards and tasks rather than clients, contracts or money.

Invoices linked to the client and contract, PDF downloads, payment tracking and a finance dashboard with per-client ROI.
